How to Run a Worship Rehearsal Like a Pro \u2013 A Guide for Sound Engineers<\/strong><\/h3>

Hey everyone, Adam here. I had the privilege of leading a \u201cHow-To\u201d session<\/strong> at Churchfront Conference 2024<\/strong>, where I walked through how a sound engineer should run a rehearsal<\/strong>. This is one of the most common topics that comes up in coaching calls and in our accelerator program, so I wanted to break it down step by step.<\/p>

If you\u2019re running sound for your church, you know that rehearsal is more than just pushing faders<\/strong>. It\u2019s about creating an environment where musicians can focus on worship, not technical issues<\/strong>. When we do our job well, the band is free to do theirs even better.<\/p>

So let\u2019s talk about how to run a rehearsal efficiently, reduce stress, and set everyone up for success<\/strong>.<\/p>

Step 1: Prepare Before Anyone Arrives<\/strong><\/h2>

A great rehearsal starts before the band even walks in<\/strong>. The more prep you do ahead of time, the smoother everything will go.<\/p>

\u2705 Know the Band Members<\/strong> \u2013 I make sure I know everyone\u2019s name so I\u2019m not calling out \u201cHey, drummer!\u201d<\/em> over the talkback mic. It\u2019s a simple respect thing.
\u2705 Check the Stage Setup<\/strong> \u2013 I verify that every mic, DI, and monitor is in place and tested.
\u2705 Review the Setlist<\/strong> \u2013 I check Planning Center and make notes on any unique elements in the songs.
\u2705 Confirm Tech Needs<\/strong> \u2013 If a guitarist needs stereo XLRs or the MD needs a mic, I get it ready ahead of time.<\/p>

I also reach out to the worship leader or band members beforehand if I have any questions. This way, when they walk in, they know I\u2019m already thinking about their needs.<\/p>

Step 2: Make the Band Feel Valued<\/strong><\/h2>

Before I start adjusting faders, I do something just as important: I check in with the team as people<\/strong>.<\/p>

\ud83c\udfa4 \u201cHey, how\u2019s your morning going? Need a water or coffee?\u201d<\/em>
\ud83c\udfb8 \u201cGot everything you need for your setup?\u201d<\/em><\/p>

These small interactions build trust<\/strong>. If a musician feels supported and respected<\/strong>, they\u2019ll play with more confidence<\/strong>.<\/p>

When I create a calm, prepared environment<\/strong>, it reduces stress and lets everyone focus on why we\u2019re really here\u2014leading the congregation in worship<\/strong>.<\/p>

Step 3: Capture the Band\u2019s Attention for Soundcheck<\/strong><\/h2>

Once everyone is set up, I grab my talkback mic<\/strong> and make sure the band can hear me.<\/p>

\ud83d\udd90 \u201cCan you guys hear me in your in-ears? Give me a hand raise.\u201d<\/em><\/p>

This is a crucial step because clear communication prevents frustration<\/strong>. If someone can\u2019t hear me, we solve that first before moving forward.<\/p>

Step 4: Run a Structured Line Check<\/strong><\/h2>

Next, we go through each instrument one by one<\/strong>. Here\u2019s my process:<\/p>

1\ufe0f\u20e3 Vocals First<\/strong> \u2013 I have vocalists sing a chorus with keys or guitar to make it easier for them.
2\ufe0f\u20e3 Drums<\/strong> \u2013 Kick, snare, toms, hats, overheads, full kit.
3\ufe0f\u20e3 Keys & MD Mic<\/strong> \u2013 I verify that the worship leader\u2019s mic and click track are working.
4\ufe0f\u20e3 Guitars & Bass<\/strong> \u2013 I check each one individually.
5\ufe0f\u20e3 Final Check<\/strong> \u2013 I do a quick visual confirmation<\/strong> that every input is live and nothing was missed.<\/p>

I also ask for their loudest signal<\/strong>, but I keep in mind that early morning rehearsals are deceiving<\/strong>\u2014musicians always play louder as they warm up. I set gain slightly lower to leave headroom.<\/p>

Step 5: Use Virtual Soundcheck for In-Ear Mixes<\/strong><\/h2>

This is the biggest game-changer<\/strong> for saving time. Instead of the band trying to play and adjust their in-ears simultaneously<\/strong>, I record a 30-second loop of a song<\/strong> and play it back.<\/p>

\ud83c\udf9b Here\u2019s how it works:<\/strong>
1\ufe0f\u20e3 I record a full chorus or bridge.
2\ufe0f\u20e3 I flip my console to play the recording back through their in-ears.
3\ufe0f\u20e3 The band adjusts their mixes without playing live<\/strong>.<\/p>

\ud83d\ude80 Result:<\/strong> Everyone dials in their mix in 30 seconds instead of 10 minutes<\/strong>.<\/p>

This method eliminates the back-and-forth guessing game of \u201cTurn me up\u201d<\/em> while also trying to play. It makes rehearsals so much smoother.<\/p>

Step 6: Handoff to the Worship Leader<\/strong><\/h2>

Once in-ear mixes are set, I make a clear handoff<\/strong> to the worship leader.<\/p>

\ud83c\udfa4 \u201cOren, it\u2019s all yours. You can start the rehearsal whenever you\u2019re ready.\u201d<\/em><\/p>

This lets the team transition into worship mode<\/strong> without waiting on me. If they need something later, they can just ask.<\/p>

Before I step back, I always ask the band one last time<\/strong>:<\/p>

\ud83d\udcac \u201cDo you need anything else from me?\u201d<\/em><\/p>

I also make sure to give encouragement<\/strong>:<\/p>

\ud83d\udd25 \u201cYou guys sound great today.\u201d<\/em>
\ud83d\udd25 \u201cThat vocal line was awesome.\u201d<\/em>
\ud83d\udd25 \u201cGuitar tone is dialed in.\u201d<\/em><\/p>

Musicians are always their own worst critics<\/strong>, so a little encouragement goes a long way.<\/p>

Final Thoughts: Running a Rehearsal with Excellence<\/strong><\/h2>

At Churchfront Conference 2024<\/strong>, my goal was to show how intentional preparation and clear communication<\/strong> can transform a stressful<\/strong> rehearsal into a smooth, efficient, and worship-filled experience<\/strong>.<\/p>
